Position Title: Project Coordinator (PC)                                                                               

Reports to: Manager, Project Operations

Department: Operations

Experience and Education:

Required

  • Bachelor’s degree

The Operations Department supports account team efforts by implementing and delivering projects.

A Project Coordinator (PC) is an entry level position that does not require previous medical education experience, but requires skills such as organization, time management, communication (written and verbal), and multi-tasking. The PC’s primary role and responsibility is to support the Project Manager (PM) with day-to-day implementation of operational tasks for multiple projects, in collaboration with an account team.

Over time, the PC has the ability to successfully support a broad range of projects, and can work on simultaneous projects with input and direction from his/her supervisor and/or PM.

The main duties of a PC are as follows:

Core

Account Team Support

  • Draft meeting materials and communications (from templates) for PM and/or AM review  
  • Support the PM and/or AM with medical/legal/regulatory (MLR) submissions and have some knowledge of the assigned client’s MLR review process
  • Develop registration sites via CVENT; develop surveys via SurveyMonkey; set up contracts in DocuSign
  • Assist in organizing folders and files on the public server
  • Route materials to/from editorial and graphic designers
  • Route materials for team review; obtain final approvals for upload/print/distribution
  • Prepare and ship all materials to meeting site

Time Management

  • Understand the importance and use of a project timeline; assist in developing, updating, and managing project timelines
  • Support the PM in managing deadlines and deliverables by working closely with internal departments and account team to ensure timing for deliverables is appropriate
  • Work efficiently and with a sense of urgency to ensure projects remain on task
  • Enter accurate, billable time on a regular basis

Team Leadership

  • Attend kick-off meetings, status meetings, and post-meeting debriefs (internally and with the client)
  • Assist in preparing weekly status report and meeting minutes for internal and client meetings
  • Assist in researching and managing vendors

Financial Accountability

  • Assist in obtaining vendor quotes; negotiate for optimal pricing based on project scope prior to initiating any work; multiple quotes should be solicited prior to vendor selection
  • Ensure vendor quotes are within budget (if already set); ensure final invoices are received in a timely manner
  • Assist in submitting invoices and job code request forms to finance
